How to request data deletion
If you are a customer of Frosty's HVAC and you would like us to delete the personal information we hold about you, this page explains how.
Email info@frostyshvac.com with the subject line "Data Deletion Request" and we will process your request within thirty (30) days. We will keep you posted by email throughout the process.
What we can delete
We can delete:
- Your name, address, phone number, and email address
- Photographs of your home and equipment, on request
- Audio-video clips from past service visits, on request
- Communication preferences and marketing history
- Your customer-portal account, login credentials, and session history
- Digital signatures
- Any other personal data we hold that is not covered by the legal-retention requirements below
What we cannot delete (and why)
By law, we are required to retain some records even after you ask us to delete your other data:
- Financial records (invoices, payments, refunds, tax records) — the U.S. Internal Revenue Service requires us to keep these for at least seven (7) years
- Permit and license records — when we have pulled a permit for work on your property, the city or state may require us to keep those records for a period defined by their regulations
- Records under a current legal hold — for example, if there is an open legal claim involving your service
When we respond to your request, we will tell you exactly what we are keeping and why.
How to make a request
Option 1 — Email (recommended)
Send an email to info@frostyshvac.com with:
- Subject line: Data Deletion Request
- Your full name
- The phone number or email address you have used with us
- The service address, if you remember it
- Anything specific you want deleted (e.g., "delete all photos but keep my service history") — or just say "delete everything you can"
Option 2 — Phone
Call (469) 254-0548 during business hours and tell us you would like to make a data-deletion request. We will collect the same information and follow up by email.

What happens next
- Within 5 business days, we will email you to confirm we received your request and to verify your identity. We may ask you to confirm details we already have on file.
- Within 30 days, we will complete the deletion and email you a summary listing what was deleted, what was retained, and why.
- If we cannot complete the request within 30 days (for example, because of a complex retention question), we will email you to explain and to give you an updated timeline. The total time will not exceed sixty (60) days.
If you are not satisfied
If we deny your request, or you disagree with what we retained, you may appeal by replying to our decision email within thirty (30) days. We will respond to your appeal within sixty (60) days. If you remain dissatisfied, Texas residents may contact the Office of the Texas Attorney General.
For users of our connected social-media features
If you have authorized Frosty's HVAC to post to a social-media account on your behalf (for example, by connecting a Facebook Page or Instagram Business account), revoking that connection will not delete the data we have already received. To request deletion of that data, follow the steps above and mention the connection in your request.
